Hosted Buyer Program
Terms & Conditions
Your participation is contingent upon acceptance of the terms and conditions outlined below.
DMAI will provide these items provided the Hosted Buyer fulfills their obligations:
- Complimentary admission to Destinations Showcase Washington or Chicago.
- Reimbursement of up to $300 for round-trip train or airfare (receipts required) to and from Reagan National Airport (DCA) or Chicago/O’Hare International Airport (ORD). Must arrive prior to any scheduled activities. Please allow up to 30 days following the event for reimbursement.
- Two nights of accommodations at the headquarters or similar hotel with complimentary hotel shuttle to/from airport.
- Certain meals as described for each program.
- Attend all scheduled activities, including, but not limited to these: pre-scheduled appointments with a minimum of five sponsoring destinations; morning educational sessions, keynote luncheon, and afternoon expo; and VIP receptions on Wednesday and Thursday evenings.
- All incidental expenses, including but not limited to ground transportation to/from home airport, airport parking, extended hotel accommodations, upgrades, travel insurance, food and beverage (excluding VIP receptions and keynote luncheon), and personal extras are the responsibility of the Hosted Buyer.
- Provide hotel with a credit card at check-in for incidental expenses.
- Pay a $300 cancellation fee, plus reimbursement for actual cost of any airfare paid for by DMAI, if the Hosted Buyer fails to participate in the program for any reason. Agreeing to this penalty serves as a guarantee of your participation. If airline tickets have any value, the buyer may use for his/ her own purposes, paying change fees as required. DMAI has no obligation to assist with ticket changes when a buyer cancels.
- Invitations and acceptance are non-transferable. With written consent, DMAI may allow some substitution before airline ticketing for a fee.
- While we hope you have a productive and enjoyable experience, please keep in mind that the purpose of this trip is to conduct business. Therefore, it is not appropriate to bring travel companions.
Eligibility
Destinations Showcase is a private event open to qualified meeting planners only. We're sorry, but those affiliated with a hotel, resort, meeting facility, conference / convention center, CVB, chamber of commerce, catering company, promotional / incentive item vendor, a/v company, or other industry supplier are not eligible for entry. Acceptance is subject to DMAI's approval based on review of the information provided on the applicantion and DMAI may deny eligibility for any reason.
Participation is subject to compliance with DMAI's Code of Conduct and show management reserves the right to remove anyone violating these policies from the event. Due to liability restrictions, no one under the age of 18, including infants and toddlers, will be permitted to attend Destinations Showcase or enter the exhibit hall at any time.
Assumptions of Risk/Liability Waiver
Participating Hosted Buyers expressly assumes all risk associated with, resulting from, or arising in connection with his/her travel, participation, and presence at the Hosted Buyer Program, including, without limitation, all risks of theft, loss, harm or injury to the person (including death), property, business or profits of participants, whether caused by negligence, intentional act, accident, Act of God, or otherwise. Neither the Organizers, nor the Event Facilities, nor any of their respective officers, directors, shareholders, agents, employees, representatives, or assigns, shall be liable for, and Hosted Buyer hereby releases all of them from, and covenants not to sue any of them with respect to, any and all risks, damages, and liabilities described in this paragraph.
